 We are seeking a detail-oriented Export Documentation Administrator to join our manufacturing operations team. This role is vital in ensuring the accurate and timely preparation of export documentation for goods shipped globally. You’ll work closely with production, logistics, and compliance teams to support the smooth flow of international shipments from factory to customer.

 

 

 

Key Responsibilities 

 

  • Prepare and manage export documentation including commercial invoices, packing lists, certificates of origin, and customs declarations.
  • Ensure documentation complies with UK export laws and destination country regulations, including post-Brexit requirements.
  • Liaise with internal departments (production, warehouse, sales) to gather shipment details and coordinate dispatch.
  • Communicate with freight forwarders, customs brokers, and regulatory bodies to ensure timely clearance and delivery.
  • Maintain accurate records of all export transactions for audit and compliance purposes.
  • Monitor shipment progress and proactively resolve documentation-related issues.
  • Support continuous improvement initiatives within the export and logistics function.

You Bring

 

  • Previous experience in export documentation within a manufacturing or industrial environment.
  • Strong understanding of Incoterms, customs procedures, and international trade compliance.
  • Familiarity with ERP systems (e.g., SAP, Oracle) and Microsoft Office Suite.
  • Excellent attention to detail and organizational skills.
  • Strong communication and problem-solving abilities.
  • Knowledge of UK export regulations and EU/non-EU trade processes.
  • GCSEs or equivalent (minimum); further education in international trade, logistics, or business administration preferred.
  • Certification in export procedures or customs compliance is advantageous.
