We are searching for our next teammate who has a passion for coordination, attention to detail, working with people, and enjoys the variety of taking on ad-hoc work.  You will work closely with the Financial Control and Human Resources teams in the region.  You will gain exposure and development in areas such as procurement/sourcing, people operations, various finance and accounting teams, and our business operations, among others.

 

We are seeking  an open-minded, energetic, bright and driven team player to join our Parsippany office team.  This is position reports to the Finance Control Lead – North America and provides administrative support for regional finance and human resources teams.

 

 

You’ll be responsible for the following:

  1. Provide direct administrative support to the Financial Control Lead by managing daily appointments, calendar as well as travel and expense reporting
  2. Initiate Purchase Requests and supports requestor with Supplier invoices/issues.
  3. Manage in-house meeting room coordination and off-site meeting scheduling, including managing the AV controls as directed by management
  4. Receives sorts and forward incoming mail
  5. Maintain and route key messages throughout the organization to ensure timely communications
  6. Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  7. Assist in the ordering, receiving, stocking and distribution of office supplies
  8. Assist with other related clerical duties such as photocopying, faxing, filing etc.

What we like to see in your experience:

  • Minimum of 5 years of administrative experience
  • Professional, excellent communication skills, ability to multi-task, reliable and dependable.
  • An ambitious and talented team player
  • A self-starter who will pitch in without asking and is willing to help in anyway
  • Bachelor’s degree (preferred)
  • Strong communication skills (speaking and listening)
  • Microsoft Office experience (including Excel, Outlook, PowerPoint, and Word)
  • Ariba Buying/Guided Buying experience
  • Good planning, organizing, and problem-solving skills
  • Drive for results, eager to learn and develop
  • Energetic, pro-active with a can-do and self-starter attitude
  • Passionate, willing to learn and contribute
