The Site Office Assistant/Administrator will provide comprehensive administrative and operational support to the Senior Director Manufacturing Site Leader. This role is critical in ensuring smooth coordination of all site activities, meetings, and food services. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
- Meeting Coordination & Scheduling
- Organize and schedule site meetings, leadership team sessions, and other site events.
- Prepare and distribute agendas, meeting materials, and minutes, as needed.
- Create and edit PowerPoint presentations for site meetings and leadership communications.
- Calendar Management
- Manage the Senior Director Manufacturing - Site Leader’s calendar, including scheduling appointments and resolving conflicts.
- Coordinate with internal and external stakeholders to ensure timely communication and alignment.
- Food Service & Event Logistics/Planning
- Oversee food service arrangements for the site. This is including but not limited to the employee food service program, meetings and all site events.
- Manage vendor relationships and ensure timely delivery and setup.
- Administrative Support
- Provide day-to-day administrative assistance to the Site Leader.
- Handle correspondence, document preparation, and other administrative tasks as required.
- Distribute and file all relevant documents and information as requested
- Prepare and finalize presentations, reports etc as requested
- Arrange travel and accommodation (including robust travel plans & itineraries);
- Support in expense claims.
- Anticipates needs and proactively acts in partnership with relevant functional Leadership
- Makes meeting arrangements and prepares agendas for department and other meetings while coordinating logistics (e.g. Functional/Site LT Meetings etc)
- Copying, scanning, and filing documents, as needed.
- Additional duties, as assigned.

You Bring:
- High School Diploma or equivalent required. Associate’s or Bachelor’s degree preferred.
- Minimum 3–5 years of administrative experience, preferably in a manufacturing or corporate environment.
- Strong organizational and time-management skills.
- Proficiency in Microsoft Office Suite (PowerPoint, Outlook, Excel, Word).
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and maintain confidentiality.
- Ability to work in and navigate through digital collaboration platforms (Teams, Yammer, Skype for Business etc)
- Excellent communication, both written and verbal in English
The salary or hourly wage scale provided reflects the pay range dsm-firmenich expects to pay the successful candidate for the position. Individual pay offered will be based on the applicant’s job-related skills, experience, relevant education, or training, and primary work location. (Hourly: $25/hour - $31/hour)
