As an Administrative Specialist, you will provide support to both Site Director and Leadership team. The Administrative Specialist will support the enhancement of the entire employee life-cycle experience, including on-boarding, growth and development, and culture/engagement.
Your Key Responsibilities:
• Support Leadership Team with site strategies and goals around employee culture and engagement.
• Schedule/Coordinate the New Hire On-Boarding Program for the site, Annual Trainings. Lunch and Learns, Employee Engagement Activities, and other site events as assigned.
• HR Training Ambassador to help roll-out new programs/policies.
• Manage I-9 Document process for New Hires , Welcome Agendas, Overview of HR Wave Page, Horizon, EE Handbook, etc.
• Provide support to HR /Training Manager in assessing training program effectiveness to ensure steady development.
• Project coordination, Audits, KPI reports, and billing/invoices for Manufacturing.
• Recruiting – coordinate with hiring manager for onsite Interviews (diversity - interview panels).
• Partner with Benefits/EAP - coordinate onsite or virtual EAP Training Sessions, Group Announcement.
• Point of contact for employees’ basic questions: Payroll, Benefits, HR Wave page.
• Manage communications via TV Monitor & Bulletin Board updates – Training, promotions, certifications, New Hires, Anniversaries, B-Days, Winning Behaviors.
• Manage front desk needs as assigned like visitor check-ins etc. Assist with security activities like making badges for employees and vendors.

You Bring:
• High school diploma. However, an associate or bachelor’s degree in business or office administration is preferred.
• Prior experience in administrative roles, customer service, or office management is required.
• Exceptional ability to manage multiple projects, prioritize tasks, and maintain an orderly office environment. Ability to work in a fast-paced environment and prioritize competing deadlines.
• Strong verbal and written communication skills to interact with staff, clients, and vendors. Ability to build relationships with all team members at all levels.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• SAP and Kronos experience is preferred.
• Excellent attention to detail and accuracy for all work products.
• Ability to lead, by example, and work autonomously. Maintain a high level of confidentiality.
• Proactive approach to identifying issues and implementing solutions quickly.
The hourly pay rate provided reflects the pay range dsm-firmenich expects to pay the successful candidate for the position. Individual pay offered will be based on the applicant’s job-related skills, experience, relevant education, or training, and primary work location. The hourly pay rate is $25.00 to $33.00.
